This policy explains how InjuryLab (the website and app at app.injurylab.ai, including the client portal) handles personal information.
InjuryLab is software made and operated by Apex Omnia LLC ("Apex Omnia", "we"). Law firms use it to run their cases. When you are a client or
prospective client of a law firm that uses InjuryLab - today, GHOSHEH LAW FIRM LLC (the "Firm") - the Firm decides how your information is used, and
Apex Omnia handles it only to run InjuryLab for the Firm, under the Firm's instructions and its duty of confidentiality.
1. Who this covers
Clients and prospective clients of the Firm, including people who use the client portal, the symptom diary, uploads, texts or e-mail.
Visitors and people who ask for help through a form, a call, a text or an ad (leads).
Firm staff and co-counsel (outside attorneys the Firm shares a case with) who sign in.
People named in a case file (for example other drivers, witnesses, adjusters and medical providers).
2. What we collect
Contact and identity details: name, phone, e-mail, mailing address, date of birth, language.
Case information: what happened, photos, police and accident reports, insurance and claim details, medical records and bills, lost-wage papers,
letters, court papers, settlement and payment records, notes, calls, texts and e-mails about the case.
Health information you or your providers give the Firm to pursue your claim.
Sign-in and security data for people who sign in: the account you sign in with (for example Microsoft, Google, Yahoo or Apple, or a
one-time e-mail code), sign-in times, the pages opened and the device's internet address. This is kept to protect client files.
Technical data: one sign-in cookie and a few settings saved in your browser (see the Cookie Policy).
We do not use advertising trackers, analytics pixels or data brokers in InjuryLab.
We do not knowingly collect information from children under 13 through InjuryLab. A parent or guardian handles a minor's claim with the Firm.
3. How it is used
To represent clients: organize the case file, track deadlines, prepare letters, demands and court papers for an attorney to review, and keep clients updated.
To answer people who contact the Firm and decide whether the Firm can help (a contact alone does not make anyone a client - see the
Terms).
To keep InjuryLab secure, fix problems and keep records the law and the Georgia Rules of Professional Conduct require.
With automated tools, including artificial intelligence, that draft and sort work for a person to review - see AI and your data.
We never sell personal information, never share it for targeted advertising, and never use client information to train AI models.
4. Who sees it
The Firm's attorney and staff, based on their role. Co-counsel see only the cases the Firm shares with them.
Service providers that host or run parts of InjuryLab for us, under written contracts that limit their use of the data - for example cloud
hosting and storage, e-mail and calendar, e-signature, phone, text and fax services, mail and delivery services, and AI services. Providers that may
handle health information sign business associate agreements.
People the case requires, at the client's direction or as the representation requires: insurance companies, medical providers, courts,
opposing counsel, lien holders and others.
When the law requires it (for example a subpoena or court order) or to protect someone's safety, as the Rules of Professional Conduct allow.
If Apex Omnia's business is sold or merged, InjuryLab data stays subject to this policy and the Firm's instructions.
Public record searches (for example a court's public case search or a lien search) use only what the search needs: a name, a date of birth,
a citation number or a case number.
5. How it is protected
Encrypted connections, sign-in through trusted accounts, roles that limit who sees what, and a log of who opened which page.
Before anything is sent to an outside AI service, names, contact details, addresses, dates of birth and ID numbers are replaced with codes, and
Social Security, driver's license, bank account and card numbers are removed. Anything about a State Bar matter or containing account or card numbers is blocked.
E-mails that are not yet tied to a case are not saved in InjuryLab; they stay in the Firm's mailbox until someone files them.
No system is perfectly secure. If a breach affects your information, we and the Firm will notify you as the law requires.
6. How long it is kept
Case files and trust records are kept as long as the Firm's professional duties and the law require, then deleted or returned. Sign-in and access
logs are kept to protect the files. Information about a person who never became a client is kept only as long as needed to respond and to check conflicts of interest.
7. Your choices and rights
Ask to see, correct or delete your information, or ask a question, by writing to the Firm at 368 West Pike Street, Suite 207, Lawrenceville, Georgia 30046 or calling 404-500-0000, or to Apex Omnia at
hello@apexomnia.com. We answer within 45 days. Some information must be kept (for example a client's file or trust records), and we will tell you if so.
Stop texts any time by replying STOP (see Text messages). Unsubscribe from marketing e-mail with the link in the e-mail.
We will not treat you differently for using these rights.
Residents of states with their own privacy laws may have additional rights; write to us and we will honor the rights that apply to you.
8. Changes
We will post changes here with a new date. If a change is important, we will tell signed-in users and clients.
